Patient portal and family access
Invite a patient to their app, what they can see and do there, records requests, family access with consent, and what stays private.
Each patient can have their own app, in their phone's browser, with nothing to install. It shows their appointments, their home exercises and their bills, under your clinic's name.

Invite a patient
- Check the patient's email address and phone number with them first. Invite patients one at a time.
- Open the patient and click Invite to portal. The invitation goes by email, with a one-time link.
- No email? Copy the activation link and send it on WhatsApp to the patient's own number only.
- If an emailed invite isn't used, Stator sends one reminder after three days. Pending portal invites lists the ones still waiting.
- Lost password or a new phone: Manage portal access → Reset portal access, then send the new link.
What the patient sees
- Upcoming appointments: when and with whom, and whether it's at the clinic, at home or online.
- Request an appointment (beta): the patient suggests days and times, and the desk books or declines it under Appointment requests.
- Home exercises: the programme their physio prescribed, with videos and how many to do.
- Bills & payments (beta): what they owe and the clinic's bank details. After a transfer, they tap I've paid and enter the amount, the date and the reference, and the desk confirms it.
- Request my records: they ask for their records to be sent to them, a doctor or their insurer.
- My details: their patient number, their contact details, who has access to their record, and their password.

Records requests
Requests arrive under Records requests, for the admin, the head physio or the front desk. Approve and send the latest visit, the last five visits or the full record, or decline with a note to the patient.
What stays private
By default, the app lists the patient's past visits but shows no clinical notes. Under Settings → Patient access, the admin can choose to show parts of approved notes, such as what was done at each visit, home visit times, and the goals and plan of care.
- Only approved notes can ever show, and only those parts. The complaint, the assessment and the physio's findings never show.
- A setting for one patient can show less than the clinic's setting, never more.
Family access
A family member, such as a parent or a grown-up child, can have their own sign-in to a patient's app. They never use the patient's.
- Get the patient's consent first, in person or on a signed form.
- Open the patient and add the family member: their email, their relationship to the patient, and how consent was given.
- They get their own invitation. Access starts when they accept it.
A family member sees appointments and bills only, unless the clinic gives full access on purpose, with its own tick. The patient sees who has access on My details and can remove them.
Only the admin, the head physio and the front desk can add a family member.
