For owners

The money, the notes and what's running late, where the owner can see them.

The dashboard counts the money received and what's still owed. Beside it are the notes waiting for the head physio, the compliance report and the staff handbook, with every member of staff in their own role.

The dashboard

The admin's dashboard covers whatever period you pick. Revenue counts money received, write-offs never count, and a billing mistake is voided with a reason instead of deleted.

The admin dashboard, with the branch switch, the period, the day's numbers and revenue by branch
  1. One branch, or all of them together.
  2. Today, this week, this month, the last 30 days or your own dates.
  3. Today's appointments, notes waiting for your approval, visits not yet billed, and revenue for the period.
  4. Revenue by day, each branch in its own colour.

Notes the head physio approves

If the clinic wants it, the head physio approves every note or sends it back with a comment. A note changed after approval is marked as edited and comes back.

The queue shows each note's patient, the kind of visit, the physio, the branch and the date.

Late notes and open home visits

The admin decides what counts: a late daily note, a late evaluation, a home programme not sent, a note submitted unchanged, or a rule of the clinic's own. Each rule has its points, and a fine only if the clinic uses fines.

Stator logs late notes, unsent programmes and unchanged notes by itself. Each staff member sees their own points under My compliance, and acknowledges or disputes each incident within 7 days.

The compliance report, with incidents logged against late daily notes and two home visits still missing a time out or a signature
  1. Each incident with its date, the staff member, the rule, the points and whether they've answered.
  2. The admin can waive an incident. Disputes go to the admin and the head physio, and nobody decides their own.
  3. Home visits still missing a time out or a signature after 24 hours.

The staff handbook

Write the handbook and your policies in Stator, or upload a PDF, and choose which roles each one applies to.

Each time you publish, Stator makes a new version and asks the staff it applies to to read it. They see a banner until they confirm they've read and understood it, and you see who has. Remind nudges the rest.

Everyone signs in as themselves

Each member of staff has their own login and one of five roles: admin, head physio, physio, front desk or accountant. The role decides what they see, and physios never see prices.

When someone leaves, the admin locks or deactivates the account. They're signed out on every device straight away, and their notes and the record of what they did stay.

Your clinic's name on it

The clinic's name, tagline, colour, logo and contact details go on the app, the patient app, receipts, printed notes and the emails patients get.

Stator checks that the colour you pick is readable on white and with white text on it.

Also for owners

  • Monthly reports by email

An owner report and an accountant report on the 1st of each month, and a daily digest, to the people you choose.

  • Exports (beta)

The admin or the accountant downloads patients, visits, invoices, payments and appointments as spreadsheets at any time.

  • Home programmes

A report of which patients have been sent a home exercise programme.

  • The compliance report as a spreadsheet

The month's incidents, points and late notes for each member of staff. The accountant sees the totals.

  • Branches

Each branch has its name, area, address, phone and colour. Each patient has a home branch, and each member of staff works at the branches you set.

How it works

  1. 1. Set the rules

Choose which rules are on, their points, the grace period and whether fines apply.

  2. 2. Stator logs what's late

Late notes, programmes not sent and unchanged notes, against the person and the rule.

  3. 3. Staff answer within 7 days

Each one is acknowledged or disputed. One left unanswered counts as acknowledged.

  4. 4. You decide the disputes

The admin or the head physio decides, and the admin can waive an incident.
